  • To fully secure a reservation, a 20% deposit is required.

  • If the company does not have a signed contract or a reservation deposit 3 days before the date of installation, your order remains a quote and may not be filled.

  • All deposits are non-refundable.

  • Final payment must be received before the setup date by either cash, credit, or check. All renters who pay the full amount in cash will not pay tax.

  • Any cancellations within 7 days of the event will not be honored and the full balance will be due in full.

  • By paying the deposit, the renter agrees to all terms and conditions of the tent rental contract.

  • All tents require soft ground (grass, dirt) and metal stakes to be driven 2-3 feet into the ground.

  • Installations cannot be made during inclement weather and arrangements will be made to accommodate the renter.

  • Installations and take downs can occur 1-2 days before/after contract date. We will make any attempt to accommodate the renter, but cannot be guaranteed due to the needs of the business.

  • Installation and take down hours are 9am-5pm M - F, 9am-12pm Saturday & Sunday. Setup times are usually 2-4 hours and require the renter or a representative to be present at the installation site at the designated setup time.

  • Renter is responsible for the equipment area to be completely clear of all obstructions prior to the setup date, and also agrees to pay any additional charges for any delay incurred along with any labor charges resulting in renter's failure to do so. Renter understands that 7 feet clearance will be required around the tent to allow for securing the tent. Tents will not be moved once they are put up without additional charges applying.

  • Renter agrees prior to any installation of rental equipment including tents, to obtain at the renter's expense, any and all necessary permits and licenses and other consents. Renter is responsible to advise Sapphire Tent and Party Rentals LLC. of any underground utilities, sprinkler systems, electrical, rocks, pipes, septic systems, etc. prior to the installation date.

  • Renter agrees not to sub-rent equipment to any party other than listed on the current contract.

  • If setting up at a commercial type property or a property being rented or leased, it is the renter's responsibility to seek permission from that land owner to set up on the property.

  • Renter is responsible for any damage to or loss of equipment, while in renter’s possession. Accrued rental charges may not be applied against purchase charges or repair charges to lost or damaged equipment. Equipment damaged, while in renter’s possession, beyond repair will be paid for - at its replacement cost – when rented.

  • Renter assumes tent and equipment damage and replacement risk, for the following events – not excluding any other reasons noted: vandalism, mischief, theft, accessory item loss – extension cords, tents, stakes, poles, hardware, etc., damage as a result of overloading, misuse, abuse or improper use of rental equipment; loss due to disappearance of wrongful conversion by a person entrusted with the equipment; equipment returned to another rental company in error, etc.

  • All equipment is inspected upon return, renters will be charged for any damages that do not account for regular wear and tear. Sapphire Tent and Party Rentals LLC., reserves the right to modify charges for broken, missing, damaged, or dirty items up to 72 hours after items have been returned.

  • Renter agrees all risk, and agrees to hold Sapphire Tent and Party Rentals LLC., and any of its staff harmless from and against any and all claims, losses, liabilities, and damage, and all costs and expenses arising directly and indirectly at or relating to; The delivery, loading, unloading, erection, installation, dismantling, and use of rented equipment. Contact of underground utilities, pipes, or any condition on renter's property. All necessary surface repairs.

  • Any renter, who enters into a contract with Sapphire Tent and Party Rentals LLC., agrees to have a confirmed and valid credit card on records with us at all times during the rental agreement period. You hereby authorize Sapphire Tent and Party Rentals LLC., to store your credit card information and to charge all sums due to us at any time during the term of this agreement, including damages, unreturned items and extra rental fees for items not returned by the due date.
